As CFO & COO of the San Diego Natural History Museum, you will lead finance, operations, and administrative departments for one of San Diego’s most popular and beloved museums. Overseeing visitor services, building facilities, accounting, HR, IT/AV, retail, and food and beverage, the CFO & COO heads up a dynamic and talented team. Responsibilities Include:
Finance
Oversee cash flow planning and ensure availability of funds as needed.
Oversee cash, investment, and asset management.
Oversee financing strategies and activities, as well as banking relationships.
Develop and utilize forward-looking, financial analyses to provide insight into the organization’s operations and business plans.
Planning, Policy and Donor Relations
Coordinate the development and monitoring of budgets.

Engage the finance committee of the board of directors to develop short-, medium-, and long-term financial plans and projections.
Represent the company to financial partners, including financial institutions, donors, foundation executives, auditors, public officials, etc.
Remain up to date on nonprofit audit best practices and state and federal law regarding nonprofit operations.
Accounting and Administration
Oversee the accounting department to ensure proper maintenance of all accounting systems and function; the Museum’s finance staff.
Ensure maintenance of appropriate internal controls and financial procedures.
Ensure timeliness, accuracy, and usefulness of financial and management reporting for federal and state funders, foundations and the Museum’s board of directors; oversee the preparation and communication of monthly and annual financial statements.
Ensure timely and accurate accounts receivable transactions for museum business ventures.
Coordinate audits and proper filing of tax returns.
Ensure legal and regulatory compliance regarding all financial functions.

Building Operations and Support Functions
Oversee the operations of building support staff and security functions to ensure safety and comfort of visitors, employees and collections.
Oversee capital improvement projects and prepare capital budgets.
Pursue energy savings projects where applicable to Museum operations
Oversee operation of information technology function and develop priorities regarding investments in IT infrastructure and cybersecurity
Oversee Museum’s human relations function to ensure compliance with Museum’s employee manual and all state and federal employment laws.
Manage the Museum’s insurance and legal needs.
Management
Participate in museum management and supervises, coach and mentor staff to achieve departmental and museum success
Work effectively with peers on Executive Management team to anticipate and solve problems, and create sound Museum policies

The Mission of the San Diego Natural History Museum is to interpret the natural world through research, education and exhibits; to promote understanding of the evolution and diversity of southern California and the peninsula of Baja California; and to inspire in all a respect for nature and the environment.
The Museum has a collection of more than 8 million research specimens and conducts research in the areas of paleontology, entomology, herpetology, ornithology, mammalogy and botany. We provide educational opportunities to over 100,000 children each year and close to 400,000 people visit our exhibitions each year. The Museum operates an onsite gift shop and a café offering bar services, and also has over 700 active volunteers who serve in our research and education programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Under the supervision of the Controller, the Contract Billing and A/R Administrator is responsible for full cycle accounts receivable, ensuring that client invoices are correct, accurate, and delivered to the client in a timely manner and managing the collection aspect of accounts receivable. Other accounting duties include account reconciliations and maintaining financial reports, records, and general ledgers.
GENERAL RESPONSIBILITIES:
Review client contracts to understand all necessary information, including billing and payment terms

Enter and maintain client contract details and create billing schedules in Sage Intacct accounting software

Director of Conservation Biology (Full - Time, Regular)
The Exequiel Ezcurra Director of Conservation Biology (DCB) at the San Diego Natural History Museum (Nat/Museum) is a newly created, endowed position intended to transform the Museum’s ability to have direct conservation impacts in our mission region of Southern California and Baja California. The DCB will play a leadership role in using an evidence-based, scientific approach to conduct research, inspire, and steer the conservation strategies of the Nat. As part of the Museum’s Biodiversity Research Center of the Californias, the DCB will work with its curators to strategically integrate collections-based research into the Museum’s conservation portfolio and actively collaborate with the region’s conservation biologists in both Southern California and Baja California. The DCB is expected to have their own research program that generates data to inform conservation efforts and lead to direct conservation actions. In addition to serving as the intellectual leader of our conservation research strategy, the DCB will serve as the Museum’s face for conservation and environmental justice. In this capacity, the DCB will act as a strong representative of the Museum within the local, regional, and global conservation communities. The DCB should be a skilled and creative science communicator, generating and co-creating conservation-inspired outreach, and functioning as a content expert for internal and external stakeholders.
We seek a creative, engaged researcher to holistically approach our region’s conservation needs, set priorities, and engage the Museum’s community throughout our mission area and beyond. Ideal candidates should be actively publishing scientists with a Ph.D. and have a record of applying conservation science and human dimensions of conservation to on-the-ground conservation efforts. Candidates with experience in collaborative efforts are preferred. The DCB is expected to engage the Museum’s various research departments to focus multi-disciplinary datasets to address conservation challenges. As such, candidates with experience in data synthesis, project management, and use of community science platforms are desired. Through the Museum’s education programs and exhibitions, as well our publications and social media outlets, the DCB is expected to promote a conservation ethos rooted in environmental justice and centered on the scientific work generated by our staff and conservation partners. This leadership role requires a successful track record of securing external funding, superb communication skills, team building, and a passion for biodiversity and its protection. As the Exequiel Ezcurra Director of Conservation Biology, you will report directly to the Vice President of Science and Conservation. About the Museum’s Conservation Programs: The Nat has a long history of conservation actions, from petitioning for the creation of Torrey Pines State Reserve to documenting our region’s rich biodiversity. Binational expeditions, 100-year resurveys, and multi-disciplinary rapid assessments have drawn focus to diverse areas needing protection and documented the changes we’ve seen over our nearly 150 year-long history. Species-specific conservation research has discovered lost plant species presumed extinct, returned extirpated frogs to southern California, removed invasive species from sensitive habitats, and provided detailed insights into habitat use and development. Our biodiversity collections and their associated data are shared through numerous portals and receive millions of queries per year, contributing to our understanding of plant and animal communities across time, including our many Atlas programs (e.g., sdplantatlas.org, herpatlas.sdnhm.org) that bring focus to our important regional biodiversity.

A doctorate (Ph.D.) in biology, conservation, environmental studies, or geography (or similar field) from an accredited university degree program;

Position Summary
With a new strategic plan and our 150
th
anniversary milestone fast approaching, this is an exciting time to join The Nat. The Nat is a key player in conservation conversations and is actively addressing environmental issues that will impact our region for future generations. Researchers and educators are noticing this work, in addition to attracting major donors to The Nat. In this newly created position, the Director of Development will lead individual giving efforts and manage an existing portfolio of donors, while sourcing, stewarding, and securing gifts ranging from $10K to $100K to support our new projects.
Working closely with our VP of Institutional Advancement, the Director will have significant autonomy to shape and implement both our strategy and tactics for the individual giving program. This includes leading and mentoring two direct reports who oversee membership and our annual fund respectively. The Director of Development will be empowered and encouraged to be creative and innovative, and will play a key role in helping us reach our total annual fundraising goal of $4.2M.
This is a high-profile position requiring the skills of a strong communicator and storyteller. The Director will represent The Nat in the community, meeting with donors and hosting stewardship events, including hikes with museum curators in the San Diego and Baja regions. Director of Food & Beverage (Full - Time, Regular)
Directs and oversees all aspects of the organization's food, beverage and merchandise planning and service as they pertain to the Museum’s café and bar services. Duties include menu planning and costs, preparation and presentation of food and drinks, caterer relationships, adherence to quality and safety standards, ordering, vendor preference, and management of food, beverage and merchandise inventory. Helps identify marketing opportunities to promote food and beverage products. Provides input for strategic decisions that affect the functional area of responsibility. Builds and monitors budgets. Roles and responsibilities:
Responsible for the preparation, monitoring and reporting of the annual budget, revenue goals (short-term and long-term) and the expenses for the Food and Beverage department. Take corrective actions that may be needed.
Directly responsible for managing food cost, beverage cost, merchandise cost and labor cost. Monitors market conditions that impact menu offerings, business volume, and profitability.
Executes inventory control and calculation for monthly analysis and reconciliation. Identifies opportunities to control food and beverage costs and other expenses. Works closely with the CFO/COO and Accounting department on policies and procedures and the monthly inventory processes.
Collaborates with Café staff in the creation of menus to entice a variety of appetites including café patrons and internal private events while incorporating a menu pricing structure that will support the bottom-line goals.
Directs ordering quantities, timing of orders, receiving, invoice settlement and accuracy, storage temperatures and areas. Continually researches vendor and caterer possibilities, pricing, service, and evaluates vendor relationships to the benefit of the facility.
Directs and organizes the Café’s retail merchandise and e-commerce operations to maximize profitability. Analyzes financial data and develops strategies around pricing, merchandising and promotions. Working closely with the Marketing department, manages merchandise and creates product lists, identifying roll-outs and phase-outs of products.
Work with local and state inspectors (e.g., Department of Environmental Health and ABC) to ensure all food safety measures are met. Ensures compliance for the safe and legal service of alcoholic beverages.
Creates and implements all policies and procedures for the Food & Beverage department including compliance of organizational standards relating to quality of products and services for the Café and Bar Services.
Performs detailed evaluation of all F&B equipment to ensure all items are in working order for all F&B functions.
Approves points of sale and schedules for F&B department.
Responsible for interviewing, hiring, training, coaching, planning, assigning, and directing work, evaluating performance, rewarding, and disciplining associates; addressing complaints and resolving problems.

Qualifications and Requirements:

Facility Engineer (Full - Time, Regular)
The San Diego Natural History Museum is looking for a passionate mission supporting and natural history loving individual to be our Facility Engineer. The Facility Engineer is primarily responsible for maintaining the proper functioning of all mechanical, electrical, plumbing, HVAC, HVAC DDC controls, and life safety equipment throughout the building both during regular hours and after hours. This position aids the Facility Manager in handling facility operations and protocols in order to uphold the appropriate standards of the Museum. The Facility Engineer is responsible for managing the overall maintenance of the Museum facilities, including off-site warehouse and Museum owned vehicles, and is accountable for maintaining compliance with hazardous materials and accessibility regulations, reporting compliance under OSHA and other government regulatory agencies.

Diagnose, repair and perform preventative maintenance of various types of equipment including, but not limited to: Chillers, Boilers, Air Handling Units, Cooling Towers, VAV Boxes, and Pumps.
Communicates equipment lifespan and recommendations for repairs and/or replacements.
Monitor and adjust temperature and humidity control throughout building, adjusting for seasonal changes as well as special needs for museum collections and exhibitions.
Proactively inspect building structure, equipment and furnishings, and maintains a routine maintenance schedule to determine functionality of systems and detect malfunctions and needed repairs.
Responds to internal maintenance ticket system requests in a timely manner.
Communicates with staff regarding equipment outages, construction, and repairs that may affect departmental and Museum operations.
Oversees the General Maintenance Technician in order to maintain functionality and appearance of the facility, and all associated department personnel, including but not limited to, recruiting and selecting new staff, establishing work-related duties/responsibilities, training and scheduling, and periodically reviewing and evaluating staff performance.
Manages waste and recycling program, including organizing e-waste pick-ups.
Assists in managing the selection of contracted vendors, schedules contractors, conducts site job walks, collects bids for projects, and manages adherence of contractors to Museum policies.
Maintains files, records, and logs as needed and required by City, County, and State codes.
Health and Safety
Oversees the implementation of the Museum’s hazardous materials and disposal plan.
Ensures that permits/records pertaining to hazardous chemicals, generating periodic reports to the County and other agencies as required by law are maintained.
Coordinates with the Fire Department as needed, for regular site inspections or responses to emergencies on site.
Collaborates with the Facility Manager to develop and update disaster preparedness and emergency response plans.
Assists in conducting drills and trainings for staff on emergency response and evacuations.
Serves as the primary contact and responder for the building’s fire alarm and security alarm and is a member of the Museum’s disaster team.
Maintains functional knowledge of the condition of the Museum and the warehouse at all times including knowledge of security equipment (Fire Panel, Burglar alarm, Fire extinguishers, Fire Code Compliance).
Ensures a clean, safe, hazard-free work environment is maintained.
Additional duties
Interacts with all Museum personnel to help facilitate the coordination of events, programs, projects and storage within the facility, as well as being responsible for working with all departments to establish and monitor capital improvements that enhance the mission of the Museum and visitor experience.
Assists with Facility-related supply purchases.
Essential Requirements:
Proven team player with strong communication and customer service skills who is approachable, responsive, and resourceful.
5 years of demonstrated management experience in a large facility maintenance capacity within a museum or other similar environment.
5 years of direct “hands-on” experience in general maintenance and repairs of a commercial building which includes plumbing, electrical, carpentry, painting, drywall patching, and furniture assembly.
1 years of experience operating and maintaining HVAC mechanical equipment and controls.
Proven leader in hiring, training and supervising employees.
Comfortable working around the general public.
Able to respond appropriately to emergency situations including but not limited to fire, chemical spills, and evacuations, and to recognize, secure, and report unsafe conditions.
Able to safely operate an electric transport cart, a hand truck, a tractor, a forklift and scissor lift (used frequently) along with other equipment used to maintain the facilities.
Dependable transportation with a valid California driver’s license and good vehicle operation record.
Occasional work with or possible exposure to various chemicals.
Proficient or bilingual in Spanish a plus.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Under the supervision of the Controller, the accountant maintains financial reports, records, and general ledgers. This position also researches accounting variances, ensures compliance with accounting procedures, and helps to create efficiencies within the accounting department.
GENERAL RESPONSIBILITIES:
Prepare, post, and reconcile general ledger journal entries
Responsible for analyzing transactions, explaining variances, preparing schedules, completing reconciliations, and providing support for annual financial audit, 990 filings, and budgets
Responsible for preparing quarterly sales tax filings, maintaining food and beverage inventory accounts, and reconciling to admissions and food and beverage point of sale systems
Assist with Accounts Receivables, Accounts Payables, Cash Deposits, and Payroll Processing
Assist in monthly financial report preparation for museum managers and work with managers on budgeting and cost management
Assist Controller with daily, monthly, and year-end operations of the accounting department and provide accounting support for other job duties as assigned
CANDIDATE PROFILE:
Bachelor Degree in accounting from four-year College or University
Minimum of five years of related experience
Previous nonprofit experience preferred
Knowledge of Sage Intacct a distinguishing factor
Knowledge of Altru Ticketing/Membership system and Square POS systems a plus
Strong general ledger and fund accounting experience, with excellent knowledge of Generally Accepted Accounting Procedures (GAAP)
Superior attention to detail and ability to insure compliance with internal policies and procedures
