Job Description: Job Title: Receptionist Department: Administration Status: Non-Exempt Salary: $10.00 hr. Reports To: City Manager or Designee
GENERAL RESPONSIBILITIES The fundamental reason this position exists is to provide the citizens and visitors of San Benito a single point of contact for all city events and services. The essential functions include receiving and responding to various types of inquiries, problems or complaints over the telephone and handling of administrative duties. Under general supervision and according to prescribed procedures performs the functions of receptionist. Procedures are answering the telephone in a professional and courteous manner, transferring calls to the correct departments, assisting callers and visitors with directions or information as possible. Duties include, but not limited to, the following:
Answers telephones in a kind and professional manner and transfers the customer calls accordingly.
Greets scheduled visitors in a professional and courteous manner at all times, and directs them to the appropriate area or person.
Provides information and assistance related to city services, activities, procedures, documentation or other issues.
Ensures that outgoing mail is picked up by the appropriate mail courier.
May perform other duties as assigned, including work in other functional areas to cover absences or relief, to equalize peak work periods or otherwise to balance the workload.
KNOWLEDGE, SKILLS, & ABILITIES: To perform the job successfully, an individual should demonstrate the following competencies:
Interpersonal skills necessary in order to deal effectively and courteously with callers, walk-ins and co-workers.
Ability to become familiar with department personnel and phone extensions.
Ability to work independently and with minimal supervision
Basic knowledge of keyboarding skills to effectively type on a computer terminal.
Basic knowledge of the use of general office equipment.
Ability to think logically as needed to determine the types of calls, referring the public to other departments, and decide the type of response a call needs for resolution.
Ability to forward calls to the appropriate department.
Ability to maintain a positive attitude and a professional and courteous approach when receiving and giving assistance to the public and citizens of San Benito.
Ability to maintain a phone call database for future reference.
Is consistently at work and on time; Ensures work responsibilities are covered when absent; Arrives at meetings and appointments on time.
DESIRED MINIMUM QUALIFICATIONS
High School Diploma or GED required.
Certification from a college or technical school, preferred.
Six months to one year related experience required.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports, correspondence, and speak effectively before customers or employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form, and the ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should have knowledge of Order processing systems; email; Spreadsheet software and Word Processing software.
OTHER QUALIFICATIONS
Bilingual in English and Spanish preferred.
